Terms and conditions for participants attending the ECCO2017: European Cancer Congress in Amsterdam
These terms & conditions apply to all individually registered participants attending the ECCO2017: European Cancer Congress, to be held in Amsterdam from 27th – 30th January 2017. All references to the age of a person, mentioned in this and other Congress documents, refer to the age of that person as of 27th January 2017 (the first day of the Congress), unless otherwise specified. All dates or deadlines, mentioned in this and other Congress documents, are on Central European Time (CET).
Individuals must be at least 18 years old to register for the Congress. Participants may be asked to present an official identity card mentioning their date of birth (e.g. passport, driving license etc.).
To register as a student/junior participant, participants must upload along with their completed online registration, a letter from the Head of Department or a senior authority of their institution (on an official letter-headed paper) confirming their student “in training” status.
Only duly registered participants will have access to the Congress. Members of the public and children are not allowed in the Congress premises.
Only fully completed online registrations will be accepted including any other required documentation. The registration will only be confirmed upon receipt of the full payment. If the full payment is not received by the corresponding deadline (early, regular or late rate), the subsequent rate will automatically apply.
Registration package (full fee)
The registration fee includes entry to all scientific sessions, the poster area, the Oncohub, Welcome Reception, a congress bag (subject to availibility) and a public transport ticket. All Congress materials will be distributed onsite. No Congress material will be sent before the Congress.
Methods of payment
Credit cards are the preferred method of payment (accepted credit cards are Eurocard/Mastercard, VISA or American Express). Payments can also be made by direct bank transfer without charges to the beneficiary. The name and registration number of the participant must be clearly stated on the bank transfer for easy traceability.

Cheques and bank drafts are NOT accepted.
A Fast-Track voucher will be sent to participants approximately two weeks before the Congress to ensure quick access onsite. Participants should print the fast-track voucher and bring it with them to the Congress.
Any replacement (i.e. change of participant’s name) of a confirmed registration is subject to a 95 EUR administration fee per participant. Name changes are not allowed after 25th January.
Cancellation & refund
All cancellations are subject to a 120 EUR administration fee per participant. The deadline to receive the cancellation request is Tuesday 29th November 2016. Cancellation requests received after this date are not refunded.
Letter of Invitation
Individuals requiring an official letter of Invitation from the Congress organisers can generate one through their Congress registration profile or by contacting the Congress Secretariat. To obtain a Letter of Invitation, participants must be registered for the Congress and payment must have been received in full. The Letter of Invitation does not oblige the Congress organisers in any way. All expenses incurred in relation to the Congress are the sole responsibility of the participant.
Onsite registration is open from Friday 27th January 2017, from 07.00 to 18.00, to Monday 30th January 2017, from 07.00 to 13.00.
Day rates will be available onsite at the advertised fee. Payment for onsite registration must be made by credit card (Mastercard, VISA or American Express) (EURO only).
The day registration fee includes access to all scientific sessions of the day, the poster area, the OncoHub and a Congress bag (subject to availibility). All Congress materials will be distributed onsite.
Lost Congress badge
The Congress name badge must be worn at all times during the Congress. Access to the Congress centre will not be granted without a proper name badge. Should participants lose, misplace or forget their name badge, an administrative fee of EUR 100 will be charged to reprint a new badge.
CME credits/Certificate of attendance
Only registered participants who have attended the congress sessions will be issued CME credits/certificate of attendance. CME credits become available online on the Congress website, with the activated badge code, printed on the Congress badge. Participants are requested to keep their Congress badge for this purpose after the Congress.
Cancellation of the Congress
In the event that the Congress is postponed or cancelled due to events beyond the control of the Congress organisers (force majeure) or due to events which are not attributable to wrongful intent or gross negligence of the Congress organisers, the Congress organisers cannot be held liable by participants for any damages, costs, or losses incurred, such as transportation and accommodation costs, financial losses, and any other miscellaneous expenses.
Modification of the programme
The Congress organisers reserve the right to modify the programme at any time. All mention of the Congress programme is only an indication and are subject to change.
Data protection and sharing of contact details
The ECCO2017: European Cancer Congress Secretariat will collect and store all personal data for the preparation and execution of the ECCO2017: European Cancer Congress, Amsterdam.
Liability and Damage
The organisers cannot be held responsible for any personal injury, loss, damage or accident to private property, or for additional expenses incurred as a result of delays or changes in air, rail, road or other services, strikes, illness, weather and other causes.
The Participant shall be responsible for any damage or loss caused by the act, default or negligence of the Participant or his/her guest and shall pay on demand the amount required to remedy any such damage.
The Participant must ensure that he/she or members of his/her party and anyone visiting them at the Congress behave in such a way that they do not cause a nuisance or unreasonable disruption to the Congress, other participants, the Congress Organiser or any other visitor of the Congress venue.
The Congress Organiser does not accept liability for the below and the participant is to indemnify the Congress organiser against any claims arising from:
i) failure to provide any of the services contracted and reserve the right to alter or cancel any booking due to circumstances beyond its control, including but not limited to industrial action, postal communications, flooding, storm supply of gas electricity and water, fire alarm evacuation, or any act of God. If this happens, the Congress Organiser will use all commercially reasonable efforts to offer you alternative services.
ii) accident, injury or damage to the participant, their guest’s contractors and agents, or their respective property due to their own actions, neglect or actions of others.
The participant should make sure that they are fully insured against all losses or liabilities referred to in this clause. The Congress Organiser reserves the right to refuse to accept any booking if the participant cannot provide proof that he/she has sufficient insurance to cover his/her liability under this clause.
